Key Responsibilities:
The Business Services Manager reports to The Director of Business Services. The Business Services Manager will work closely with and assist the Director of Business Services in managing the business services functions of the school which includes the following areas;
Finance
?Work closely with the School Manager regarding;
o Collecting accounts receivables
o Maintaining the fixed asset register
o Preparing and analysing monthly financial
information.
?Assist with operating and controlling the system for managing departmental budgets including;
o Reviewing - budget submissions with heads of
departments to align with the school?s
expenditure priorities
o Overseeing the monthly reporting system for
budget versus actual expenditure
o Analysing variances and controlling
expenditure to meet budget objectives
o Review budgets for educational and residential
trips, sports and other school events ensuring
expenditure is within budget and is in
accordance with policy.
?Assist with the operation of appropriate financial control for all school activities.
Operations
?Assist with the operation of the preventative maintenance programme, repair and renovation work
?Prioritise maintenance work orders and help determine best use of school resources and provide guidance and direction in problem solving
?Assist with the planning and allocation of resources and logistics for school functions and events
?Oversee the contract management functions (catering, buses, gardening, security and cleaning) ensuring delivery of provision and service to the school?s expectations
?Assist with managing contract catering services including;
o Managing menus to ensure quality and
appropriateness
o Liaising with communications with the school
community
o Ensuring application of best serving and
delivery practices in pre-prep dining
o Overseeing special catering requirements
ensuring provision is within budget and to
standard pricing
? Oversee the operation of the school shop ensuring;
o Proper management and control of stock and
reporting
o Professional presentation and excellent
customer service
o Control of margins, setting of re-order
levels and prices
o Proper operation of computer system,
accounting and online portal
?Assist with the effective control and operation of the CCTV security system and access-control system
?Oversee the Medical Centre function ensuring the effective provision of first aid and emergency response capability.
Health and Safety
Working closely with the Operations and Safety Manager;
?Assess, prioritise and respond appropriately and in a timely manner to risks and hazards identified
?Ensure the school?s health and safety policy is practically applied across all the school?s operations including contract work and building and maintenance projects
?Assist with evacuation and other emergency practices regularly including
o Ensuring staff are educated in processes and
procedures
o Providing feedback of practices
o Ensuring emergency equipment, information and
procedures are current and in place.
Purchasing and procurement
?Work with the purchasing department function to ensure it operates efficiently according to school policy
?Ensure value-for-money and appropriateness all purchases ensuring competitive quotes are obtained for all material prospective purchases
?Manage the procurement of school uniform with key suppliers in liaison with marketing department ensuring continuity of supply and quality of product.
Human Resources
?Assist the Director of Business Services and the Human Resources Manager with applying policy and standard treatment to Human Resources cases and with problem solving
?Assist with the communications from the Human Resources function are in good English
?Ensure the records maintained by the Human Resources department are in accordance with the school?s data protection policy, kept organised and controlled effectively and efficiently
Administration
?Assist with ensuring that the administrative, medical centre and human resources content on the school?s iSAMS management information database and Firefly intranet resources is comprehensive and up-to-date
?Assist with the effective operation and reporting of the Admissions function
?Assist the Director of Business Services to prepare board papers including overseeing the preparation of financial information and statistical data.
?Carry out other duties as directed by the Director of Business Services.
