?As a policy, the hotel Management wishes to encourage to channelize requests and complaints of guests, as much as possible, through the Duty Manager ? Guest Relations. Therefore, he should, as much as possible, be available in the lobby area in order to handle requirements and answer the Duty Manager?s telephone extension. This, in particular during the morning and afternoon shifts, when the other Department Heads are in and the hotel has the highest volume of guests requests.
? Handles matters related with proper billing and investigates any guest comments coordinates guests in relation with emergency plans (fire, accident, theft, etc.)
?During check-in and check-out, greets who may be waiting, offering assistance to avoid any delays.
?Is to maintain a log-book and record any unusual incidents and check any important matters that need follow-up.
?Is to make unscheduled tours of the hotel and the various Departments to enact security and supervision, particularly during the evening, night and early morning.
?Is to be involved under the Front Office Manager?s supervision, in the front desk, reservation, FO Cashier Procedures and is to be aware of reservations forecast, room status, open & closed dates and availability of rooms.
?Is to coordinate with the Housekeeper in controlling the lost & found articles.
?Is responsible of preparing guest accident reports, check on complaints, VIP list, incoming VIP list and is to liaise with the Credit Manager on guest accounts above the limit set by Management and on ?suspicious room accounts?
?Is to check the blocking of rooms for incoming VIP and pre-register the registration card.
?With regard to credit, must be thoroughly familiar with credit regulations. Assists the Front Office Manager regarding payment by guest whose bills are overdue.
?Is to fill a duty check list and include it into the log-book whenever requested.
