ADMIN
?Submit staff attendance report of all operations staff, once a month but be best to keep checking every day for clock-in & clock-out time, working time shifts, leaves and days off (so it is more like daily routine)
?Keep records (google docs) of all letters and parcels delivered to school for tracking purpose (which turns out to be very useful) ? daily routine
?Keep records (spreadsheets) the number of boat trips and passengers, daily and send report to Accounts on the 1st and 16th of each month (bill payment circle) for fuel expenditure
?Check email for any information about operations work.
?Maintain and restock paper and stationeries used in operations office
?Check and maintain finger-print scanner (clock reset, new account adding)
?Create maintenance log sheets/checklist, make copies as needed)
?Assist and support the line manager when required.
?Develop a close relationship between each team member and the line manager.
?Prepare for last minute requests or unexpected clashes
?Take photos of each set-up for future reference
CO-ORDINATOR
?Raise PR forms as needed (whiteboards, notice boards, window blinds, etc)
?Receive and pass requests to concerned heads of department (housekeeping, security maintenance, gardening and sports fields)
?Meet up with teachers/TA?s to discuss detail of requests/repairs/set-ups/installation and pass information to maintenance team (show location and explain details, usually end up helping them until jobs done)
?Check air-con temperature, make adjustments and keep records
?Restock pool test kit (CL and PH testing tablets, glass tubes, syringes)
?Deal with small requests e.g. mopping up, quick fix, balls retrieving.
?Join maintenance daily briefing (as often as possible) to follow up work progression and, if necessary, make sure the team understands job priority
?Contact metropolitan officers when needed e.g. fire brigade department for high platform assistance
?In terms of getting work done from outside contractors: get contractors in, follow-up quote, raise PR, check work in progress until job done

SET-UP
?Plan ahead of time for school event and activity set-ups under the limits of time periods e.g. to set up right after the break/lunchtime and not before
?Organise for set-ups outside the school e.g. Ploenchit Fair, Alumni Event
?Organise for set-ups outside school hours i.e. set-ups on a Sunday, evening, night time
?Check and maintain the equipment and tools used for school events and activities (PA system, tables, chairs, extension leads, staging cloth tapes, fans)
?Provide support as a part of the team in setting up and dismantling various school events as efficiently and safely as possible.
?Assist with moving and delivery requests from departments across the school as and when requested.
?Ensure that the event's equipment is used suitably, maintained and kept properly.
?Ensure that classroom furniture is regularly maintained and replaced as necessary during term time and carry out a regular check and repair during school holidays.
AS BEING PART OF CITY REALTY
?Raise expenditure forms to Accounts (via K Sorayut) for the payment of service contract charges e.g. swimming pool (monthly), fire protection (6-month), lift and telephone system (yearly)
?Ensure the delivery and collection of documents to be signed off by management takes place in a timely manner, supporting requests for further information.
?Keep records of maintenance staff information/status and report to Head Quarter as needed e.g. social security hospital changes, providence fund sign-up, resignation letters, warning letters
?Renew service contracts (yearly ? lifts, fire protection system, telephone system, swimming pool), by contacting contract companies and sending to management for further approval
?Renew school certificate (establishment of foodstuff), occasional meetings at District Office
?Coordinate between school and City Realty regarding maintenance staff matters e.g. staff outing (we use school as starter point, staff training/ conference
?Assist stakeholders in understanding the content of documents between English and Thai - e.g. translation, interpretation, coordination.
?Report of any disposal of school furniture, asset
?Report of incidents and proceed for insurance claims as required
?Report of disciplinary warnings
?Write memos to Head Quarter as needed (service contract renewal, certificate renewal, power of attorney form)
MISCELLANEOUS
?Replace clock batteries
?Check furniture for damage and repairs
?Store classroom, office and gate keys, get keys cut, unlock locked cabinets as needed
?Check student locker combination codes when required, keep updates when replaced/swapped
?Activate access control swipe cards, maintain and keep user account records
?Maintain hand gel bottles for breaktime, and trips
?Restock flags for flagpole, school front and pier
?Restock telephone sets for offices
?Update extension numbers record for each change made
?Maintain trolleys and poster stands in school, re-order as necessary
?Help out Parent Association as see fit
?Take care of deliveries during weekend (to Marketing, Purchasing)
?Restock cardboard boxes for staff moving at the end of academic year or as requested
?Move and keep charity its donations and act as contact person upon collection
?Deliver big amount of coloured paper to Junior Art, twice a term
?Assist Purchasing with overseas deliveries twice a year (9 pm ? 11 pm), plus additions
?Store and maintain event, props and decorations e.g. Christmas, Chinese New Year, Diwali, Halloween, Proms, PloenchitFair, etc. before and after each use.
?Update electricity cost
?Provide support to Planning & logistics, Maintenance, Housekeeping, Security, Gardening and Groundskeeper teams as and when required.
