Qualification:
? High school diploma or certificate. Bachelor?s degree in Business Administration or any related field is an advantage.
? Minimum of 2-3 years? experience of varied and increasingly responsible clerical or secretarial experience.
? Experience in the international education sector and a similar role an advantage.
? Ability to perform office, secretarial and clerical works to assist Technical Director with a variety of administrative tasks.
? Excellent communication skills both written and verbal communication.
? Proficiency in Microsoft Office programmes; Word, Excel and Outlook.
? Self-motivated with an ability to thrive under pressure
? Ability to work independently as well as in a team

The Administrative Assistant to Chefs is a member of Education Services/Chef Instructor team. This role is responsible for serving as secretary to the Technical Director and providing general administrative supports to the Cuisine/Pastry Chef Instructor Team. This role reports directly to the Technical Director ? duties required will be directed by the Technical Director and Head of Cuisine/Pastry Chef Instructor, accordingly to the team?s needs in order to ensure efficient operation and communication; coordinating/performing office functions between production team and other related departments.

The position will have specific responsibilities for coordinating/performing office functions between production team and other related departments, handling the chef instructor timetabling processes, providing consistent and timely support to chefs instructors, guest chefs/lecturers and production team, as well as students; and ensuring that all duties and assignments meets established timelines and operational requirements.

Key roles and responsibilities:
? Provide coordination and quality formatting of written exam papers, white exams, and final practical exams, including all practical exam mark sheets with chef instructors in the team; and handle collating, filing and distribution to appropriate department/personnel in a safe and timely manner.
? Coordinate, schedule, and organise the chef term/week timetable; liaise with the Technical Director to ensure information is accurate and deadlines are met.
? Update and maintain students? recipes and chef instructors? workflow databases, as well as related documentation and materials (e.g. DLT, slide presentation, Academic Portal) to support the academic functions in the school.
? Supervise and support Superior Level students during exam preparation and ordering e.g. a summary of ingredient list; and to liaise with the Production team for processing the purchases.
? Greeting and welcoming guest lecturers upon arrival. Assist guest lecturers with attendance process, provide guest lecturers with school information, and accommodate him/her during their lecture in an attentive, courteous and friendly manner.
? Provide secretarial service and administrative assistance to the Technical Director and Cuisine/Pastry Chef Instructor Team; arrange meetings and independently compose letters (e.g. invitation letter, thank you letter), memoranda and emails as directed; and take minutes of meetings.
? Maintain guest chefs attendance and records; payment process as required.
? Assist chef instructor in charge, students and Events & Marketing Team in the Superior Lunch registration, organization and activities required during the event.
? Handle other appropriate duties and tasks as required by the Head of Cuisine/Pastry Chef Instructor and Production Chef.
