The Assistant Purchasing Officer (Senior) should have the following qualities
? Thai nationality;
? Bachelor degree, Higher Vocational Education Diploma in any fields;
? Over 2 years purchasing experience. Having experiences in customer products and /or academic resources would be advantage;
? Good oral and written communication skills in the English language with the ability to effectively gather and convey information across the wide range of staff and colleagues;
? Experience with MS Word, Excel, Formula, data mining;
? Strong analytical, negotiation and problem solving skills;
? Ability to organize resources and establish priorities involving complex tasks and multiple projects;
? Ideal candidate will be a self-motivated, detail-oriented, fast-learner, who is organized, dedicated, and a team player with good problem-solving skills;
? Positive and pro-active attitude;
? Communication skill, respectful and a service mind is a must;
? Work with integrity, honesty and reliable;
? Enjoy working in an educational setting;
? Flexible and able to work under pressure.
The Assistant Purchasing Officer (Senior) reports directly to Purchasing Manager is responsible as part of a team for the effective operation of the school Purchasing Department. In particular, the Assistant Purchasing Officer (Senior) will
? Conduct and follow the school?s purchasing function according to the school policy and work as part of the purchasing team. In particular
o review and monitor procurement requests and records to ensure compliance, maintain appropriate purchase documentation and obtain the necessary approvals;
o liaise with users and departmental heads regarding requirements and specifications of items requested for purchase challenge requests and add value by sourcing the appropriate goods to service the requirement cost effectively
o regularly review the purchasing market and build mutually beneficial relationships with key suppliers to enhance purchasing process and create overall value add;
o raise and control Purchase Orders from approved Purchase Requisitions as required;
o request quotes and compare prices in order to get the best quality and price;
o ensure the checks on invoices for goods received are undertaken to ensure quantity, quality and specifications are as ordered;
o responsible for Purchase Orders and invoices to be recorded and scanned before submitting to the Accounts Department for payment;
? Lead the overseas purchasing to comply with the company?s policy and standard purchasing procedure including;
o shipping arrangements are made;
o quotes are approved before ordering;
o customs documentation is raised;
o delivery timelines are met;
o co-ordinate and receive delivery of shipments at the school and distribute to the accurate departments;
? Assist with the management and operation of the Reimbursement process, ensuring that claims are valid and within policy for approval;
? Checking purchase requests are within or out of budget and taking action to ensure that the correct process is followed accordingly;
? Ensuring that Purchasing Request (PR), Purchasing Order (PO), subscription, budgeting information is recorded accurately, efficiently and published;
? To follow up goods deliveries, ensure delivery of goods in time, negotiate with suppliers if any delays/defects and be able to handle the unexpected problems;
? To support the logistics and arrangements of major school events e.g. sports day, FOBISIA competitions;
? To be deputised for the Purchasing Manager and overall purchasing process through coaching, supporting and leading Purchasing team members as appropriate to enhance overall team delivery and work balance;
? Assist as part of the administration team to cover for staff absence, ad-hoc work and periods of high workloads to cover important duties;
? Other ad hoc duties as requested.
