- Answer phone calls and respond to inquiries pleasantly.
- Address client/booker questions about property facilities and services (e.g., hours of operation, rates, room types, packages, promotions, entertainment, restaurants).
- Serve as the primary point of contact for clients, communicating via phone and email to address questions and requests.
- Coordinate internally with the Sales & Marketing team.
- Generate reports, prepare proposals, and manage collections details, while coordinating with clients and suppliers.
- Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, rates).
- Gather materials and assemble information packages (e.g., brochures, promotional materials, sales demo kits, welcome kits, souvenirs).
- Generate group and corporate leads through internet prospecting, networking, and telemarketing.
- Manage and maintain schedules, appointments, and travel arrangements for sales executives and managers.
- Assist the sales team by managing schedules, filing important documents, and communicating relevant information.
- Arrange and coordinate meetings, events, and appointments.
- Record, transcribe, and distribute meeting minutes.
- Interact with clients regarding leads, hotel needs, and travel arrangements.
- Meet with clients in the absence of the Director of Sales or Sales Managers to convey sales details effectively.
- Conduct hotel site inspections with potential clients.
- Monitor, screen, respond to, and distribute incoming communications.
- Design, upload, extract, and maintain customer databases.
- Create and manage Company and Travel Agent profiles in the property management system.
- Understand the process of merging profiles.
- Load and manage rate codes in the hotel software, linking negotiated rates to the appropriate company profiles.
- Record daily sales reports for each sales manager and submit them to the Director of Sales.
- Provide after-sales support as requested.
- Ensure sales-related equipment and materials are available at all times.
- Perform other duties as assigned by the Director of Sales or management.
