Experience Minimum one year secretarial experience is a must (Experience
in hospitality Business is and asset)
Education Min. Bachelor?s Degree or related field.
English Good command of written and spoken English.
1.To coordinate and liaise banquet function between the guests and the concerned department to ensure a successful event.
2.To perform any other duties, set by hotel policies, management or his/her direct supervisor, which are not included here above.
3.To record as accurately as possible all information given by the guest on a function sheet and prepare event order.
4.To follow up details with various departments or concerned outlets on action plan as requested by the guests to complete the event order and issue at least 3 working days before function startes except urgent functions.
5.To inform Banquet Manager or his assistant and all concerned departments of all special requests or changes concerning a function and issue the adjustment sheet.
6.To maintain a proper record and filing system: reservations, follow up files, record of past events for forecast purposes.
7.To check all boards and directional signs pertaining of banquet and conferenceson a daily basis.
8.To ensure the proper billing of every function.
9.To attend banquet briefing and weekly meeting as required.
10.To call each organiser 48 hours prior to function to finalise the guest guarantee and to obtain any additional requirements to obtain any additional requirement.
11.To check all required details as per function sheet: room set-up, wording, and lettering, 30 minutes prior to the beginning of each function.
12.Have knowledge of food and beverage.
13.Cooperate with outside agency requested by customer and inform the agency about hotel policy.
14.Know every detail concerning F&B outlets which might be used.
15.Have knowledge of the names, capacity, etc. of every function room.
16.Ensure that every piece of banquet equipment including AV equipment is put in appropriate place.
17.Ensure a proper table set-up of table setting, use appropriate use of cutlery, etc.
18.To work with Chief Artist to ensure that all props are as required by the organizers.
19.To follow up on any function cancellation and report accordingly.
20.Know the details/concept of each function and set up/decorate to suit the function requirements.
21.Aware of the selling prices of food and beverage.
22.Aware of all details of outside catering.
23.Give advice to the customer on the entertainment.
24.Possess knowledge of hygiene and safety systems within the hotel.
25.Consult with Banquet Manager/Assistant Banquet Manager on the occurred problems.
