1. At least Bachelor degree in any field
2. Knowledge of Microsoft Programs
3. Effective telephone communication skills
4. Proficiency in English communication
5. Typewriting both English and local language
6. Familiarity and knowledge of all departments within the hotel
7. Secretary or administrative assistant experience
1. Secretarial support for director of sales and as required for all other sales staff.
2. Extensive use of logistics sales module i.e.
- Ascertaining availability of conference requirements
- Inputting of accounts masters, booking masters and event masters
- Blocking of conference space and accommodation rooms
- Monitor and transferring booking on a regular basis
- Inputting and updating booking for sales personnel
3. Handling of initial conference inquiries, obtaining all relevant information and passing on to appropriate sales person.
4. Telemarketing and participate occasionally in seasonal sales blitzes as required.
5. Coordination, typing and tracing of all conference proposals, client correspondence as required.
6. Updating the spreadsheet of corporate contracts and wholesales contracts daily basis.
7. Establishing sales files as required.
8. Coordination and update of computer based, trace system for all sales staff.
9. Updating of contacts lists in the maximize system.
10. Compilation of monthly, weekly sales reports for director of sales.
11. Compilation of production report for director of sales.
12. Checking of arrivals report each morning and ensuring that all necessary customers have expressions or welcome notes.
13. Completion of corporate forms and questionnaires
14. Coordination of sales related familiarizations.
15. Develop and maintain relation with all potential clients, agents and local authorities.
16. Assure regular courtesy and informative mailing to existing and potential clients.
17. Conduct site-inspections when necessary and assist the sales person when required.
18. Maintain sufficient quantity of sales kits and flyers in stock.
19. Participate actively in weekly sales meetings.
20. Perform any reasonable request made by management.
